Job Description

The Role

  • The CIFF Challenge Fund mCPR Project is a multi-state family planning programme designed to increase access to and uptake of high-quality modern contraceptive services and contribute to improvements in modern contraceptive prevalence. The project works with state governments and health facilities to strengthen service readiness, provider capacity, commodity availability, demand generation, data use, and the quality and reach of family planning services, with a focus on underserved populations.
  • The role holder will provide day-to-day coordination support for the CIFF Challenge Fund mCPR Project, ensuring activities across supported states and workstreams are planned, tracked, and delivered on time and to the required quality. The position will coordinate state teams and cross-functional functions, maintain project trackers and documentation, support performance monitoring and reporting, follow up on budgets, procurement and commodities, and ensure risks, issues and actions are escalated and closed. The role will work closely with the Project Lead, state teams, Finance, Supply Chain, HR, M&E/MIS and technical teams to support effective project implementation and achievement of donor and programme targets.
  • The role also contributes to furthering MSI’s Vision: To create a world in which every birth is wanted and its mission of ensuring the individual’s right to Children by choice not chance. 

Key Responsibilities
Workplan and activity coordination:

  • Maintain the project workplan, activity tracker and state implementation trackers, keeping status, ownership, dates, dependencies and deliverables current across all supported states and workstreams.
  • Track progress against milestones and agreed targets, identify slippage and escalate delays to the Project Lead with a clear account of cause, consequence and proposed actions.
  • Coordinate the timing of state-level activities, including facility assessments, trainings, supportive supervision, service delivery activities, advocacy engagements, community activities and project review meetings.
  • Follow through on action points from management meetings, donor meetings, technical working groups and field visits until closed, rather than simply recording them.

Data compilation, reporting and analysis support:

  • Collect, consolidate and quality check monthly and quarterly performance submissions from state teams and channel leads, resolving gaps and inconsistencies before they reach the Project Lead.
  • Maintain project performance summaries covering FP acceptors, CYP, mCPR contribution, method mix, adolescent client share, service availability, facility coverage and other agreed project indicators.
  • Prepare first drafts of routine reporting inputs, meeting briefs, slide decks and performance summaries to a standard that requires editing rather than rewriting.
  • Support semi-annual and annual donor narrative reports by assembling evidence, verifying figures against source workbooks and following up outstanding state submissions.
  • Maintain a single, version-controlled repository of project data, reports, tools, templates and key project evidence.

Meetings, missions and stakeholder coordination:

  • Organise internal project review meetings to feed the monthly CIFF and MSIN meeting cycle, including agendas, papers, minutes, action trackers and follow-up.
  • Support project performance reviews and provide updates on state and project cost-centre performance, risks and implementation priorities.
  • Coordinate donor field visits and delegation missions end to end, including itineraries, site selection, briefing packs, state team preparation, security clearance, logistics and post-visit follow-up.
  • Support the Project Lead in preparing materials for State Ministry of Health engagements, technical working groups, partner coordination platforms and other stakeholder meetings.

Budget, procurement and administrative support:

  • Track activity-level expenditure against budget in coordination with Finance, and flag underspend, overspend and phasing risks as they emerge.
  • Prepare and follow up procurement requests, justifications, payment documentation and vendor engagements to keep implementation on schedule.
  • Coordinate travel, per diem, retirement and logistics processes for SMOH staff, consultants and project personnel, ensuring compliance with MSIN and donor requirements.
  • Support contracting and monitoring of consultants, trainers and short-term technical inputs.

Commodity and supply chain coordination:

  • Consolidate stock status reporting from supported facilities, maintain the project commodity tracker and escalate months-of-stock and stockout risks to the Supply Chain team and Project Lead.
  • Follow up commodity redistribution, replenishment and delivery decisions through to confirmation at facility level.
  • Coordinate with state and central supply chain teams to identify and escalate commodity availability issues that may affect service delivery and project performance.

Documentation, learning and compliance:

  • Document project processes, decisions, lessons learned, implementation challenges and success stories in a form usable for reporting, advocacy and communications.
  • Maintain risk, issue, action and decision registers and keep them live throughout implementation.
  • Support documentation of project changes, approvals and key implementation decisions to ensure a clear audit trail.
  • Support adherence to safeguarding, data protection, client confidentiality and other MSI and donor compliance standards, escalating concerns promptly through the Experience Channel

Key Experience and Qualification

  • Degree or advanced Degree in Public Health, Medicine, Nursing, Social Sciences, Development Studies, Project Management or related fields.
  • 3–6 years’ progressive experience in programme/project coordination, preferably within sexual and reproductive health (SRH), public health, or development programming.
  • Demonstrated experience coordinating donor-funded projects across multiple states or geographies, preferably in low-resource or underserved settings.
  • Good technical understanding of family planning, modern contraceptive methods and integrated SRH services.
  • Experience supporting project planning, implementation, target setting, monitoring, budgeting and donor reporting.
  • Ability to compile, analyse and interpret programme data to support performance monitoring and timely course correction.
  • Experience coordinating with government stakeholders, implementing partners and cross-functional teams.
  • Experience working collaboratively with Finance, Supply Chain, HR, M&E, MIS and technical teams.
  • Track record in achieving financial and non-financial targets.
