The Role
The Regional Head, Driver, and Administrative Assistant is to work from the Regional Offices of MSI Nigeria. It is responsible for providing leadership and oversight for fleet, transport, logistics, and administrative operations within the region. In addition to fleet management responsibilities, the role supports the Regional Administrative Officer in coordinating transport operations, logistics activities, and driver management. The position ensures the efficient delivery of support services, effective resource utilization, compliance with organizational policies and procedures, and seamless operational support to regional programs and staff.
Key Responsibilities
Transport & Driver Management
Carry out all his responsibilities as Driver & Administrative Assistant with MSI Nigeria
Supervise, manage, and provide leadership to all drivers in the region.
Develop and implement driver schedules, duty rosters, and rotation plans.
Ensure his vehicle and all other vehicles are properly maintained, serviced, and compliant with safety and road regulations.
Monitor driver performance, conduct periodic evaluations, and provide training on safety and defensive driving.
Ensure proper documentation of vehicle usage, fuel consumption, repairs, and mileage.
Support the regular collation of fleet data (maintenance, fuel, tyres and inspection data) for entry into the fleet management sy
Assist in monitoring and ensuring all DAAs conduct required daily and routine vehicle inspections and safety checks to maintain roadworthines
Assist in tracking and ensuring the timely renewal of all MSI Nigeria's existing vehicle documentatio
Monitor, fuel, and maintenance costs while ensuring timely support to program and operational needs.
Assign drivers to program, operational, and administrative activities based on need using the TRACPOINT software and ensure the timely availability of drivers for official assignments
Liaise with the Regional Admin Officer to coordinate inter-regional drivers' movements and support logistics planning
Training & Development
Facilitate driving tests for new and existing drivers
· Identify skill gaps and recommend training and development programs
Safety & Compliance
· Collaborate with the Regional Administrative Officer to enforce strict compliance with safety standards, road traffic laws, and organisational transportation policies
· Ensure all drivers use seatbelts, observe speed limits, and maintain safe driving practices
· Liaise with the Regional Administrative Officer to investigate transport incidents/accidents and recommend corrective actions.
Vehicle Maintenance Support
· Work with the fleet team/mechanics to ensure vehicles are serviced on time
· Report any misuse, negligence, or damage caused by drivers
· Ensure drivers carry out routine vehicle checks before and after trips
Resource & Cost Management
· Recommend measures to reduce the misuse of vehicles and fuel wastage
· Support budget planning and driver-related costs
Regional Leadership & Coordination
Assisting the Regional Administrative Officer in the liaison between the drivers and the regional team
Promote teamwork, professionalism, and discipline among drivers
Liaise with program and operations teams to provide timely administrative and transport support as guided by the Regional and Administrative Officer.
Prepare periodic reports on administration and transport activities for regional management (Fleet data that inform reports is captured within the TRACPOINT).
Manage budgets for administration and transport operations at the regional level as coordinated by the Regional Administrative Officer
Key Experience/Qualification
Bachelor’s degree in business administration, Logistics, Management, or related field.
Minimum of 5 years’ experience in administration/operations, with at least 2 years in a supervisory role.
The applicant should be willing to work from the regional office.
Experience driving both manual and automatic vehicles
Experience managing drivers and fleets in a regional or multi-site setting.
Strong knowledge of transport regulations, fleet management systems, and administrative procedures.
Familiarity with the region's terrain and fluency in the local dialect will be an added advantage.
Proficiency in MS Office Suite and administrative software.
Candidates must possess a valid driver's license
Experience driving an operational vehicle, such as a Toyota Hilux, will be an advantage
Good knowledge of Nigerian driving rules and regulations, including road signs and markings
Experience working with an INGO or an organisation within the development sector will be an advantage
